Booking Policy
Booking Policy
Cancellation & Rider Transfer
No cash refunds are available under any circumstances. All cancellations or order changes must be submitted via an Order Change Form. Any requests for cancellations or transfers via email or phone will be redirected to the form.
Cancellation Policy

30 days or more before an event:
-
Cancellation – 95% of the order value will be issued as a voucher.
-
Transfer to another rider – No fee will be charged.
-

10 days before an event:
-
Cancellation – 15% of the order value will be issued as a voucher.
-
Transfer to another rider – No fee will be charged.
-

Between 30 and 10 days before an event:
-
The voucher value will decrease on a pro-rated basis, starting at 95% at 30 days and reducing by 4% per day closer to the 10-day mark. For example:
-
20 days before an event: 55% of the order value issued in a voucher
-
15 days before an event: 35% of the order value issued in a voucher
-

Rescheduling and Cancellation Protection
To provide flexibility, students have the option to purchase Rescheduling Protection or Cancellation Protection during the booking process.

Rescheduling Insurance: Allows a student to reschedule their booked date up to 3 days before an event with no additional fees. This insurance must be purchased at the time of booking and provides peace of mind for those who may need to adjust their schedule.

Cancellation Insurance: Offers a full refund of the booking amount, less the cost of the cancellation premium, if the student needs to cancel for any reason. This insurance must also be purchased at the time of booking and provides a hassle-free option for those who want flexibility.

Only available on trial to Level 4 students currently.
Other Important Policies

Voucher Transfer: If you decide not to use a voucher for a future event, you may pass or sell it to another rider, provided CSSAU is notified via email or phone to reassign the name on the voucher.

Strict Cancellation Policy: Our cancellation policy applies under all circumstances, including but not limited to accidents, missed travel connections, motorcycle issues, health concerns, and work or personal emergencies.
Event Participation Requirements

Level Bookings: All students start at Level One, and each level must be completed in sequence. If a student books into an incorrect level and there is no availability in the correct level, the student will not be able to participate, with no refunds or rescheduling.

Weather Conditions: Events proceed regardless of weather. If a session cannot complete at least two full rotations of all groups on track and all classroom sessions, CSS will try to arrange a replacement day, pending venue availability. If a replacement day is offered, no refunds or further transfers will be allowed.
General Participant Responsibilities

Booking Transfer Restrictions: Participants may not transfer their booking to another rider in part or in full during an event.
-
Risk Awareness: All participants ride at their own risk, considering their ability, equipment, and track conditions.
-
Event Non-Attendance: CSSAU is not responsible if participants fail to attend or cannot complete the event for any reason, including weather, personal issues, or equipment problems.
Video Recording and Photography Policy

Video Recording: Subject to media application approval participants are now allowed to use video recording equipment during CSS events. Lap timing devices remain prohibited. Cameras must be secured to vehicle and must have a secondary tether. Action cameras mounted on helmets are prohibited. Students without prior approval will be asked to remove all recording devices prior to entering the track.

Promotional Use: CSSAU reserves the right to use photos, videos, and interviews taken during events for promotional purposes. Please notify our admin staff at registration if you do not consent.
Alcohol, Substance Use, and Fitness Requirements

Prohibited Substances: Alcohol and illegal substances are strictly prohibited at events. Anyone found under the influence will be barred from participation, with no refunds, and may face permanent exclusion.

Motorcycle and Equipment Standards: Participants are responsible for ensuring that their motorcycles and gear meet required standards and are safe for track use.
-
Safe Handling of Fuel: All participants must comply with fuel handling guidelines, limiting fuel in garages to 20L per rider and using compliant containers.
Policy Agreement and Updates
Any student who does not agree with this information may obtain a full refund, provided: Any participant who does not agree with the information contained in this policies sheet, or any other information supplied by California Superbike School, is entitled to a full refund provided they notify California Superbike School within seven (7) days of booking. Suppose notice is not received within seven (7) days. In that case, California Superbike School assumes the participant agrees to all policies and information and is prepared to abide by the policies, terms and conditions contained herein.
CSSAU reserves the right to update these policies as needed. Notifications of changes will be provided via a website banner, with options to review and accept any significant changes.

California Superbike School Australia Booking Protection Policy
At California Superbike School Australia, we understand that sometimes plans change unexpectedly. To provide our students with flexibility while maintaining operational efficiency, we offer two booking insurance options: Rescheduling Protection and a Combined Rescheduling + Cancellation Protection Bundle. These options are designed to protect your investment and allow for peace of mind if unforeseen changes arise.
Cancellation Protection – $200
Coverage:

This policy allows you to either reschedule or cancel your booking up to 3 days before the scheduled event date. This includes the entirety of your booked event including hire equipment if relevant.

Rescheduling Option:
-
You can reschedule your event up to 3 days before the scheduled date, moving your booking to a future available date within the next 12 months without any additional fees.

Rescheduling under this bundle follows the same terms as outlined in the Rescheduling Insurance above.
Cancellation Option:
-
You may cancel your booking up to 3 days before the scheduled event date and receive a full refund of the ticket price, minus the insurance premium.
-
Cancellations within 3 days of the event date are not covered under this policy, and no refunds will be provided.
Terms:
-
Rescheduling and cancellations are allowed only once per insurance purchase. Additional changes or cancellations will require a new insurance policy.

To initiate a rescheduling or cancellation request, please use the Order Change Form on our website at least 3 days before your event date.
Benefits:

Provides maximum flexibility, allowing you to reschedule or cancel your booking with a full refund, ensuring your plans are protected from unexpected changes.

Hire Policy
ACKNOWLEDGEMENT OF DANGER AND RELEASE FROM LIABILITY CSSAU Pty. Ltd. AND/OR IT’S PARTNER COMPANIES RELEASE FORM

This document was presented to the Applicant/Guardian by CSSAU Pty. Ltd. and/or its Partner Companies for this event, the date of which is recorded below, and relates to the use of Motorcycles and/or Equipment owned by CSSAU Pty. Ltd. and/or its Partner Companies.

The Applicant/Guardian understands that signing this document indicates that the Applicant/Guardian has read and comprehended this document, along with all other information provided by CSSAU Pty. Ltd. and/or its Partner Companies regarding the use of equipment and the rules governing the event at which it is used.
-
The Applicant/Guardian acknowledges that being at a racetrack is inherently dangerous and that participating in activities conducted by CSSAU Pty. Ltd. and/or its Partner Companies exposes the Applicant to risks, including serious injury or death. These risks may arise due to equipment failure, the Applicant's own actions, track and weather conditions, the actions of others, or other factors.

The Applicant/Guardian understands that the Applicant could be injured or killed due to negligence—either by themselves or others—or due to equipment failure that might otherwise permit a claim under strict (product) liability.

The Applicant/Guardian hereby applies to CSSAU Pty. Ltd. and/or its Partner Companies, including all directors, shareholders, employees, tutors, marshals, rescue personnel, and agents, for permission to use Motorcycle & Gear Hire services.
-
The Applicant/Guardian also applies to the owners, managers, contractors, or any persons associated with providing access to the venue, allowing CSSAU Pty. Ltd. and/or its Partner Companies to provide Motorcycle & Gear Hire services.

Acknowledgments and Responsibilities:
-
(a) The Applicant has a valid, unrestricted Motorcycle License for the Motorcycle being hired and accepts responsibility for checking and confirming this. If the license restricts the use of the hire motorcycle on public roads, the Applicant may be liable for an additional $2,000 excess on top of any fees for damages.

(b) The Applicant is responsible for wearing all approved safety equipment.

(c) The Applicant agrees to allow their driver’s license and/or credit card to be held as security.
-
(d) The Applicant is responsible for inspecting the condition of the Motorcycle & Gear before use and reporting any pre-existing damage to CSSAU staff.
-
(e) The Applicant agrees to pay for any excessive wear, damage, or replacement of lost or unreturned Motorcycle & Gear, as well as any legal fees incurred to recover goods or payment.

(f) If pre-existing damage is worsened, the Applicant is responsible for repair costs, ranging from a minimum of 50% to the full replacement cost, depending on the extent of the new damage.

(g) The Applicant has read and understands the BMWS1000RR information booklet, acknowledges that disabling DTC, Race ABS, or altering riding mode voids the maximum $5,000 damage limit, and agrees to assume full liability for all resulting damages.

(h) The Applicant/Guardian has read this document and accepts its terms.

Event Rules and Exclusion:

The Applicant promises to follow all rules, conditions, directions, and signage provided by CSSAU Pty. Ltd. and/or its Partner Companies and understands that a breach may result in exclusion from the current and/or future events.

Use of Equipment:
-
The Applicant/Guardian accepts all Motorcycle & Gear and Camera-Telemetry Equipment provided "as is," with any defects. The Applicant/Guardian releases CSSAU Pty. Ltd. and its Partner Companies from strict or product liability for any injuries, death, or property damage arising from the equipment.

Assumption of Risk:
-
By signing this agreement, the Applicant/Guardian acknowledges they accept the inherent risks of injury, death, or property damage associated with using the Motorcycle & Gear and Camera-Telemetry Equipment.
11. Safe Operation:
-
The Applicant/Guardian agrees to operate the Motorcycle & Gear safely and not to risk any person or property unnecessarily.
12. Liability for Damages:
-
The Applicant/Guardian agrees to pay for any damages or excessive wear to the Motorcycle & Gear and Camera-Telemetry Equipment caused by the Applicant, based on RRP values and labor costs. Damaged goods remain the property of CSSAU Pty. Ltd. and/or its Partner Companies.
13. Release from Liability:

The Applicant/Guardian releases and indemnifies CSSAU Pty. Ltd. and its Partner Companies from any claims for death, personal injury, or property damage as a condition of participating in the event.
14. Authorization for Information Release:
-
Notwithstanding privacy laws, the Applicant/Guardian authorizes CSSAU Pty. Ltd. and/or its Partner Companies to provide relevant information, including this form and any accident reports, to interested parties.
15. Governing Law:
-
This agreement is governed by the laws of New South Wales, regardless of the place
of injury, death, or damage.
16. Optional Rescheduling and Cancellation Policy:
-
CSSAU Pty. Ltd. offers optional Rescheduling and Cancellation Insurance at the time of booking.
-
Rescheduling Insurance: Allows participants to reschedule their booking up to 3 days before the event without additional fees. Rescheduling is subject to availability and must comply with all conditions outlined in this agreement.

Cancellation Insurance: Provides a full refund (minus the cancellation insurance premium) on both event and hire fees if the participant cancels, as per the conditions of this agreement.

Insurance selections must be made during booking, and refunds or reschedules without insurance are subject to standard terms.
17. Equipment Inspection and Security Hold:

CSSAU Pty. Ltd. reserves the right to place a security hold on the Applicant's credit card to cover potential damages. This hold will be released upon return and inspection of the equipment. The Applicant is required to inspect the Motorcycle & Gear before use and report any pre-existing damages to CSSAU staff. Any unreported damage identified upon return will be considered the Applicant’s responsibility.
